Buy it, configure it, or build it

There are three honest answers to "we need a CRM", and they cost very different amounts. Sometimes the answer is buying an off-the-shelf tool and simply setting it up properly: right pipeline stages, right fields, right automations, none of the clutter. Sometimes it is keeping the tool you have and integrating it, so the website, the inbox and the calendar finally talk to each other. And sometimes, genuinely, nothing on the market models how your business works, and building bespoke is cheaper over five years than bending a subscription product out of shape and paying for the privilege monthly. Most agencies only sell one of those three answers. Because we both configure the big platforms and build custom systems ourselves, we have no reason to push you toward either, and we will happily tell you when the £0-a-month free tier of an existing tool, set up well, is all you need.

The bespoke route, in practice

The clearest example on our books is Pilates with Valerie. Valerie runs small-group mat Pilates classes in Bushey and Elstree alongside 1-to-1 sessions and online Zoom classes, with capacity rules and package pricing that off-the-shelf booking tools flatly refused to model. Rather than force her business into someone else's template, we designed and built a bespoke booking system around her actual class formats: in-person and Zoom students book from one timetable, capacity is enforced automatically, and her packages work the way she actually sells them. That is CRM work in the real sense, software that manages the relationship between a business and its customers, built to fit the business rather than the other way round.

Every CRM engagement is fixed-price after the free scoping call, because "it depends" is only an acceptable answer before we have seen your pipeline, not after. As a rough shape: configuring an off-the-shelf CRM around your pipeline is a small project, integrating your website into it is often smaller still, and a bespoke build is a proper software project quoted in writing like our bespoke websites. If budget is the constraint, say so on the call and we will tell you the cheapest honest route, which is sometimes a free-tier CRM set up well and nothing more. Do I need a custom CRM or should I use HubSpot?

For most Hertfordshire SMEs, HubSpot, Pipedrive or Zoho covers the need once it is configured around your real pipeline rather than left on defaults. Can you automate our sales process?

Yes. Follow-up reminders, nurture emails, lead routing, quote generation and pipeline hygiene can all be automated. The honest caveat: automation multiplies a process that already works. If the pipeline itself is muddled, we fix that first, then automate it.

Is my data safe?

Every CRM we build or configure is set up for GDPR compliance: proper consent capture, data retention rules, and the ability to answer a subject access request without a panic. If we build bespoke, the data lives where you can see it, in your accounts, not ours.

We are not sure a CRM is worth it at our size. Are we too small?
